I have a colleague seeking all around Account Coordinator to join his team based in either Connecticut, New Hampshire, New Jersey, New York or North Carolina. This is a full time role, mainly remote, but could require some onsite work. $55k-$60k plus benefits. Room to grow, and will likely learn a lot about all aspects of event marketing along the way. Position Overview: The Experiential Marketing Assistant/Account Executive is responsible for supporting and coordinating the execution of branded live events, trade shows, and mobile marketing tours. This role plays a key part in ensuring seamless communication, vendor management, financial tracking, and day-to-day project execution. Ideal for a detail-oriented, highly organized, and proactive team player with a passion for experiential marketing and events. KEY RESPONSIBILITIES: CLIENT & INTERNAL MEETINGS Assist in scheduling, preparing for, and participating in client calls and internal meetings. Capture meeting notes, action items, and distribute recaps to team and stakeholders. Help track progress and ensure timely follow-ups. TRADE SHOW & EVENT SUPPORT Coordinate logistics for trade show booths and branded activations, including shipping, installation, and staffing. Assist with venue coordination, travel bookings, and registration processes. Help manage promotional materials, swag, lead capture systems, and on-site branding. MOBILE TOUR COORDINATION Support pre-event planning for mobile tours including routing, scheduling, permitting, and staffing. Coordinate tour logistics such as vehicle branding, asset delivery, and local market activations. Participate in on-site tour management when needed to ensure successful execution. INVOICING & BUDGET TRACKING Assist with budget tracking and financial reconciliation for each activation. Process vendor and contractor invoices in collaboration with the finance team. Maintain accurate records of expenses, quotes, and approvals. VENDOR & PARTNER RELATIONS Communicate with vendors to obtain estimates, confirm bookings, and ensure timely delivery of services. Help source and onboard new vendors and suppliers when required. Maintain relationships with production partners, staffing agencies, and freelance talent. QUALIFICATIONS: Bachelor’s degree in Marketing, Event Management, Communications, or related field would be a plus. 1–2 years of experience in experiential marketing, live events, agency support, or project coordination. Hands-on experience supporting trade shows and/or mobile tours is a strong plus. Strong communication and interpersonal skills. Organized, detail-oriented, and comfortable managing multiple projects simultaneously. Proficiency in Microsoft Office and tools like Google Workspace, Trello, Asana, or similar project management software. Ability to travel and work flexible hours, including weekends, when needed.
