Brand Ambassador Role – Participant Welcome & Note-Taking Support Time: 11:00am-3:00pm Uniform: Black shirt and black pants Location: Ellen M. Bozman Government Center Preference if you speak the following languages: Vietnamese, Korean, Japanese, Chinese, Cantonese, and Siamese. As a Brand Ambassador (BA), your role is essential to the success of the focus group session. You will be responsible for welcoming participants, supporting the flow of the session, and most importantly, capturing accurate and detailed notes of all participant feedback. Responsibilities: Welcome and Logistics: Greet all participants warmly as they arrive. Ensure everyone signs in on the sign-in sheet. Invite participants to help themselves to food or refreshments. Direct participants to take a seat and settle in before the session starts. Seating Chart Creation: Create a seating chart for your notes at the beginning of the session. Write down each participant’s name in the seat where they are sitting. You may choose to number the participants for easier reference while note-taking. Live Note-Taking: Take annotated notes throughout the meeting, focusing on: Participant comments, questions, concerns, feedback or ideas. Tag each comment with the participant’s name or number using your seating chart. Scope of Notes: Follow the Facilitator template as you're taking notes, capturing all audience's answers, lived experiences, APA Guiding Principles, and SWOTs. Focus only on what the participants are saying. Do not take notes on the facilitator’s presentation unless it directly connects to a participant's response or reaction. Note-Taking Tools: You may use any combination of the following tools based on what you're most comfortable with: Recording Device Laptop with Microsoft Word iPad for typing or voice recording Phone for voice recording and transcribing or taking notes BAs MUST take handwritten notes with a printed seating chart The goal is to ensure you capture everything participants say as accurately as possible. After the Session: If you made an audio recording, label the file clearly and include it with your notes for reference.
