You’ll be hands-on with national campaigns, work closely with Tour Managers in the field, collaborate with creative, production, and strategy teams, and play a critical role in bringing ambitious ideas to life. About the Role The Project Coordinator is a key member of our Client Experience Team (CET), supporting the planning, coordination, and execution of experiential campaigns from launch through completion. You’ll help manage logistics, field communications, documentation, and operational readiness, ensuring our tours and activations run smoothly nationwide. This is a full-time, salaried position that works in-office Monday through Friday at our East Brunswick, NJ headquarters. There is no remote work option for daily responsibilities. Key Responsibilities • Support Project Managers and leadership with day-to-day coordination of experiential campaigns • Act as a primary point of contact for Tour Managers in the field, including nights and weekends as needed • Coordinate field logistics including travel, staffing, schedules, and activation readiness • Manage documentation related to vehicles, insurance, compliance, and campaign logistics • Assist with Tour Manager and Brand Ambassador hiring, onboarding, scheduling, and performance tracking • Maintain project timelines, updates, and reporting using internal project management systems • Support DOT-related compliance and operational requirements • Troubleshoot real-time issues during active tours and activations • Collaborate with internal teams across production, operations, and sales to keep campaigns on track Work Schedule & Expectations (Important) • 100% in-office position during standard business hours (Monday–Friday) • Valid driver’s license required and ability to commute to the office daily • This role requires being on call during nights and weekends to support Tour Managers in the field o When on-call issues arise, work can be handled remotely (you will not be required to come into the office during off-hours) • Flexibility is essential due to the nature of live events and touring campaigns What We’re Looking For • Experience in project coordination, experiential marketing, events, logistics, or related fields • Strong organizational skills with the ability to manage multiple moving parts at once • Excellent communication skills and comfort working with field teams under time-sensitive conditions • Detail-oriented, proactive, and calm under pressure • Comfortable using project management tools and tracking systems • Ability to work in a fast-paced, ever-changing environment Why VTI Studios? • Work on national, high-visibility experiential campaigns • Be part of a growing team shaping the future of live brand experiences • Gain hands-on exposure to touring logistics, live activations, and experiential strategy • Real opportunity for growth and long-term career development • Collaborative, high-energy environment where your work truly matters If you’re looking for a hands-on role, love live events, and want to grow your career in experiential marketing, this is an incredible opportunity.
