About VTI Studios
VTI Studios is a leading creative studio and touring agency specializing in experiential marketing and in-house production. We design, build, and execute dynamic brand experiences that connect brands with consumers across the country. With a large fleet of experiential vehicles, mobile experiences, and in-house production capabilities, our team manages everything from vehicle preparation and logistics to nationwide campaign execution. We are growing our West Coast operational capabilities and are looking for the right person to help us keep things moving.
Contract Position Overview
VTI Studios is seeking an experienced Local Field Manager to serve as our in-market operational resource in the Upland, CA market. This is a hands-on field position for someone who knows experiential marketing, event operations, fleet/logistics, or field management and is comfortable being the person who gets things done. You must live within a 0 - 45 minute max radius from Upland, CA to qualify for this position.
The Field Manager will support VTI Studios campaign vehicles, inventory, Tour Managers, vendors, training, and other operational needs throughout the market. You will be the local boots on the ground for VTI Studios, helping make sure vehicles are clean, ready, where they need to be, and properly supported before they hit the road.
MUST have experience in experiential marketing, event operations, fleet/logistics, field management, or a closely related operational role. We are looking for someone who is hands-on, organized, reliable, communicative, and comfortable working independently.
Key Responsibilities
• Vehicle Operations: Coordinate local movement of VTI Studios campaign vehicles between vendors, storage locations, training locations, and other assigned locations.
• Vehicle Readiness: Inspect campaign vehicles to ensure they are clean, organized, presentable, and deployment-ready for Tour Managers, clients, and activations.
• Vehicle Condition Reporting: Complete condition reports and time-stamped photos at vehicle pickups, drop-offs, and Tour Manager handoffs, including mileage, fuel, graphics/wrap condition, warning lights, and any new damage.
• Maintenance Coordination: Coordinate approved routine maintenance, repairs, inspections, cleaning, and other vehicle needs with designated vendors while keeping VTI Studios HQ informed of open items.
• Inventory Management: Receive, track, organize, and maintain accountability for client products, campaign materials, equipment, signage, collateral, and other tour inventory.
• Inventory Reporting: Conduct weekly inventory checks and immediately communicate any missing, damaged, delayed, or unaccounted-for materials.
• Tour Manager Support: Meet Tour Managers in-market to assist with vehicle loading, unloading, organization, equipment placement, inventory verification, and overall campaign readiness.
• Vehicle Training: Prepare campaign vehicles for Tour Manager training and serve as a designated West Coast vehicle trainer after completing VTI Studios onboarding and training requirements.
• Vendor Coordination: Work directly with assigned vendors and operational partners regarding vehicle movements, deliveries, storage, maintenance, cleaning, loading, unloading, and other field requirements.
• In-Market Support: Serve as a local point of contact for VTI Studios, Tour Managers, vendors, and other operational partners to help resolve routine field issues.
• Rush & Courier Support: When needed, pick up and deliver missed, delayed, or time-sensitive campaign materials to Tour Managers, activation sites, vendors, or shipping locations.
• Field Issue Resolution: Identify operational, vehicle, inventory, vendor, or logistical issues and communicate them quickly to the VTI Studios team so they can be addressed before they impact a campaign.
• Communication & Reporting: Provide timely updates, photos, documentation, vehicle status, inventory updates, and end-of-day recaps to the VTI Studios team as required.
• Expense Management: Accurately document approved expenses and submit receipts through the VTI Studios PEX system within the required timeframe.
• Professional Representation: Represent both VTI Studios and our clients professionally while working with Tour Managers, vendors, clients, and other campaign partners. You are the local face of VTI Studios and should execute accordingly.
Qualifications
• Proven experience in experiential marketing, event operations, field management, fleet operations, logistics, or a similar operational role.

• Strong communication skills and the ability to proactively communicate issues before they become problems.
• Comfortable working independently and making sound operational decisions in the field.
• Strong problem-solving skills and the ability to adapt quickly when things don't go exactly according to plan.
• Valid California driver's license and successful completion of VTI Studios' Motor Vehicle Record (MVR) review.

• Reliable personal transportation to Advanced Systems Services in Upland, CA and other assigned in-market locations.
• Must live within approximately a 45-minute maximum radius of Upland, CA.
• Proficient with smartphones, email, messaging, shared documents/spreadsheets, photography, and field reporting applications.
